KCOI Paid Time Off

Paid Time Off (PTO) is accrued based on hours hired to work with a maximum of 40 hours per week. The accrual is pro-rated for employees working fewer than40 hours per week, i.e. if you work 30 hours per week, receive 75% of the benefit. Employees working less than 20 hours per week are not eligiblefor this benefit. Employees hired prior to 12/29/2014 will continue to be grandfathered under the accrual methodology for full time vs parttime accrual rates. If an employee hired prior to 12/29/2014 change their status the grandfather rule no longer applies and they will fall under thecurrent accrual methodology.

Employees may begin using PTO once they have time accrued. Accrual of PTO begins after the completion of one full pay period of employment,according to the following schedule:

Upon hire 7.08 hours 9.23 hours
After four years 8.31 hours 9.84 hours
After nine years 9.84 hours 9.84 hours
After fourteen years 11.38 hours 11.38 hours

Accruals are earned based on regular hours paid or PTO paid each pay period. Any pay period with zero regular hours or PTO paid results in a zero accrual for that pay period.

Employees may carry PTO hours over to the next benefit year, up to a maximum level of 480 hours.  Once 480 hours are accrued no additional PTO accrues. 

When possible, PTO must be requested four (4) weeks in advance.  Every effort is made to schedule the employee’s PTO on the dates requested.  However, management reserves the right to change hours or PTO due to business necessity. 

PTO should be scheduled in one-half or full-day increments for Exempt staff.  Hourly staff may use PTO in 15-minute increments.

When a holiday falls within an employee’s PTO, the employee will not be charged PTO hours for the holiday, but will be paid for the holiday at the appropriate holiday rate.

When an employee leaves in good standing a maximum of 200 hours of accrued, unused PTO benefits will be paid upon separation from employment for non-exempt employees.  240 hours of accrued, unused PTO benefits will be paid upon separation from employment for Exempt employees.  Employees terminated for cause will not receive a PTO payout.

  • The intent of PTO is to cover all leave needs for employees. This would include such things as vacation, sick leave, low census days, bereavement/funeral leave and any other required time off. 

Holidays

The dates of observance will follow the same date as the National Day of Observance with the exception of the Inpatient Unit (IPU).

For IPU, the holiday will be considered the actual day of the holiday.  

For all other areas, if the actual holiday should fall on Saturday, the holiday will be observed on Friday.  If the actual holiday should fall on Sunday, the holiday will be observed on Monday.
